Cancellation Policy

To ensure the success of the meeting, it is necessary that the Companies invited to Digital 1to1 expressly confirm the commitment acquired with their registration.

Therefore, by completing the registration form, the Company declares that the information provided is correct and truthful, and that the person indicated as representative holds a position within the registered Company. Likewise, by completing the registration form, the Company confirms that it is aware of the registration and has expressly approved its participation in the event, under the terms and conditions set forth in this Cancellation Policy.

If unable to attend the event, written notice must be given to the organization at least 14 calendar days before the event start date. If cancellation is notified before the deadline, the Company must cover accommodation and travel expenses via bank transfer against an invoice issued by Digital 1to1, if the organization had already made reservations.

If no notice is given, or if it is made after the deadline, the Company must pay the full service cost of €1,850 as compensation for damages.

If participation is replaced by another Company representative meeting the required criteria, no payment will be due.

In cases where participation includes a travel allowance, participants may choose how to manage their travel via the confirmation form, with the following options:

  • Digital 1to1’s partner travel agency
    The agency will contact participants who select this option to inform them of travel and transfer possibilities according to their preferences, the event schedule, and the comparison between travel cost and travel allowance value. Once validated, the agency will issue and send the tickets and provide transfer details. If the total travel cost exceeds the allowance, the participant must pay the difference in advance or opt to organize their own travel.
  • Self-managed travel
    The participant will arrive at the event independently and inform the organization of their arrival and departure times. Within the week following the event, the participant may request reimbursement of services included in the travel allowance, up to the agreed maximum, by submitting an invoice addressed to Digital 1to1 along with ticket copies (showing price and date). If more than 20 days pass after the event without the required documentation, Digital 1to1 reserves the right not to issue reimbursement. Taxis, mileage, car rental, or other non-specified expenses are excluded.
  • Shuttles
    The organization will provide free shuttle buses from the main arrival points to the event venue, at times deemed appropriate according to the program. Participants may reserve a seat through the participation form within the indicated timeframe. If no reservation is made or it is late, the organization cannot guarantee a seat nor cover private transfer costs.
  • Force majeure
    Digital 1to1 shall not be held liable or considered in breach for any losses, damages, claims, or expenses arising from cancellation due to Force Majeure.
    Force Majeure refers to any unforeseeable event making the event impossible, inadvisable, illegal, or impracticable; including but not limited to emergencies, fires, floods, earthquakes, acts of nature, government orders, civil unrest, wars, terrorism, strikes, or transport service suspensions.

In such cases, beyond the reasonable control of the organizers, Digital 1to1 reserves the right to modify the event agenda and format, informing participants directly or via the website. Any amounts already paid will be retained as credit for future participation, unless the event is definitively cancelled, in which case Companies will be entitled to a refund.
